Collingwood Neighbourhood House (CNH) is a not-for-profit Society serving the Renfrew-Collingwood (RC) neighbourhood of East Vancouver. CNH’s mandate is to promote the well-being of the Renfrew-Collingwood community by providing leadership and working collaboratively with individuals, families, agencies and other groups to develop and support inclusive, innovative, sustainable initiatives and services that respond to the community’s social, educational, economic, health, cultural and recreational needs.
RISE Community Health Centre (CHC) is a department of CNH, and is funded by the Ministry of Health. RISE CHC supports the health and well-being of Renfrew-Collingwood residents by offering community-based primary care and health promotion services. Populations of focus include Newcomers, LGBTQ2SIA+, Indigenous, Isolated Seniors, Youth, people experiencing Homelessness, those working in the Sex Trade, and those experiencing Mental Health and Substance Use issues. Services are delivered by a diverse interdisciplinary team, working in partnership with other Collingwood Neighbourhood House departments and partnering agencies.

Program Overview
The Summer Junior Medical Office Assistant (MOA) is responsible for supporting the day-to-day operations of the Community Health Centre by performing administrative tasks and ensuring high-quality customer service to patients. Medical office assistants support both the front and back of the office, including scheduling appointments, patient communication, filing, stocking rooms and prepping exam rooms for procedures. Additionally, medical office assistant is expected to handle sensitive information confidentially and ensure smooth operation by accurately completing administrative tasks in a timely manner.
Job Responsibilities
- Greet and welcome patients, guests and business representatives; determine their needs and put them in contact with appropriate staff.
- Receive incoming calls and answer routine inquiries; screen and/or transfer calls to the appropriate member of the team.
- Take messages, or forward to voice mail, for all staff.
- Monitor and manage the general tidiness of the waiting room.
- Attend to patient behaviors in the waiting room by listening, supporting, validating and in the case of disruptive behaviors employing de-escalating techniques. If necessary, contacting CHC Manager or other appropriate staff member for assistance and completing incident reports.
- Direct and schedule client appointments with an appropriate member of the health care team including recall and/or follow up.
- Answer routine inquiries of visiting clients, including assisting clients to access the services of other agencies.
- Manage electronic patient files.
- Maintain confidentiality of all patient information, both personal and clinical.
- Provide other services to clients as directed by clinicians
- Provide administrative support to Health Care Team, including reports, letters, scanning and faxing.
- Enters patient data and file patient information in OSCAR. Also, store physical copies in a manner that allows for easy location and fast retrieval.
- Inventory control and submitting order sheets of consumable medical supplies to CHC Manager for ordering more supplies and Stocking of rooms.
Level of Education
Secondary or post‑secondary education with an interest in health care, public health, medical office administration, or health sciences.
Qualifications and Assets
- Previous experience in leading and planning health‑focused programs and workshops.
- Excellent people and customer service skills
- Strong verbal and written communication skills
- Ability to multi-task in a complex and fast-paced situation
- An egalitarian philosophy and non-judgmental attitude (i.e. gender, culture, age, race, sexual orientation, language, ability and more)
- Interest or experience in working with culturally and economically diverse populations and marginalized communities
- Excellent organization, planning, and computer skills
- Highly motivated with a strong work ethic and Critical thinking skills
- Telephone/switchboard skills and administrative skills (scanning, faxing, linking documents)
- Ability to work independently and as part of a team
Eligibility
- Applicant must be between 15 and 30 years of age at the start of the employment
- Applicant must be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment. International students are not eligible participants.
- Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada.
- First Aid certification is considered an asset, but not required.
- Criminal Record Check (CRC) must be completed prior to the start of employment.

- Schedule: 35 hours/week, Tue 9:30am-5:00pm, Wed 10am-5:30pm, Thurs 9:30am-5:00pm, Fri 11am-6:30pm, & Sat 9:30am-5:00pm
